For Group Leaders

Five steps.
From idea to back home.

There's no time like the present. Avoid procrastination and in-school competition by starting now — the planning itself takes less than an afternoon.

A traveler heading off on a tour — the start of every Passports planning arc
The five steps
  • Choose a tour, or work with us to design your own
  • Recruit your group with materials we send you
  • Put your feet up — we book everything
  • Learn, experience, reflect — pre-departure through re-entry
  • Join the Passports family at a teacher conference
1
Step 1

Choose a tour.

Call 1-800-332-7277 to be connected with an expert Passports Tour Advisor. They’ll walk you through 89 tried-and-true catalog itineraries, or — if you’d rather — design a custom itinerary tailored to your students, your subject, and your budget. First draft in 48 hours. No deposit required.

Step 2

Recruit your group.

Recruitment is the part that intimidates first-time group leaders. We make it the easy part — your Tour Advisor builds you a recruitment plan around your school’s calendar, ships every promotional asset to your door, and prepares a custom presentation deck for your parent meeting.

Recruitment plan

Your Tour Advisor maps your academic calendar against our payment deadlines (May 15 / Oct 15 / Final Payment) and sets target headcount checkpoints. You get a week-by-week plan with parent-meeting dates, fundraising milestones, and the Rewards Points you’ll earn at each stage.

Meeting presentations

A custom-built parent-meeting deck for your specific tour — tour map, day-by-day itinerary, what’s included, cost breakdown, payment plans, FAQ. Delivered as PowerPoint and PDF so you can edit a slide if you need to. Run the meeting; we’ll prep the slides.

Custom enrollment microsite

Your group’s own page on passports.com — tour overview, dates, deadlines, application form, payment portal. Parents read, ask questions, and apply online without ever needing to call you. Goes live the same day you sign on.

No templates. No defaults.

Three print pieces, custom-built for your tour.

Every kit is made when you sign on — your tour-cover photo on the booklet, your dates on the posters, your microsite QR on the postcards. Free, in the quantities you ask for, and shipped to your school — usually the same or next day after your itinerary is confirmed.

Itinerary booklets

Full-color, multi-page booklets with your tour map, day-by-day, hotel descriptions, what’s included, payment plans, and FAQ. Printed in the quantity you ask for and shipped to your school.

  • Custom tour-cover photo
  • All inclusions in plain English
  • Side-by-side payment plan comparison
Print
Customized posters

Hallway-ready posters featuring your destination, your dates, and your enrollment deadline. We design; you tape them up. Sized for school bulletin boards.

Postcards & mailers

Take-home postcards with your tour cover and the QR code that lands parents on your microsite. Hand them out at parent night, mail them home with the syllabus, drop them in a bin at open house.

Usually ships the same or next day after your itinerary is confirmed. If a date changes mid-recruitment we reprint and reship at our cost — same goes for typos, deadline shifts, or a route change between draft and parent night.

Step 3

Put your feet up.

Our team books every flight, hotel, restaurant, museum entrance, motorcoach transfer, and Tour Director — without another phone call from you. While we work, browse our free On-the-Road essays and the Going Places blog for inspiration on what your students might want to see.

4
Step 4

Learn. Experience. Reflect.

The pedagogical arc of every Passports tour. We give you the tools to do all three.

Pre-departure

186 free, classroom-tested lesson plans linked to the sights you’ll actually see.

On tour

Experiential activities designed to push students out of their comfort zones into new cultures.

Re-entry

Travel-journal templates, traveler contests, video and essay prompts — bring the trip back into the classroom.

5
Step 5

Join the Passports family.

Once your tour is back in the books, you’re part of our extended community. Join us at a Teacher Training Conference at destinations like Dublin, London, and Rome — free for veteran group leaders through the Rewards Program, and automatic for first-time leaders who enroll 15+ participants on their first tour.
