Consumer Health Data Privacy Policy
For Washington residents, under Washington's My Health My Data Act. It sits alongside our Privacy Policy and covers only consumer health data.
Passports, Inc. (“Passports”) collects a small amount of health information so that travelers can eat safely, get around and get help on tour. This policy explains what we collect, why, who we share it with, and how you can see it, delete it or withdraw your consent.
What we collect and why
We collect these categories of consumer health data:
- dietary needs and restrictions;
- food and other allergies;
- medical conditions and other medical information that may affect travel;
- mobility and accessibility needs.
We use it only to:
- arrange meals, rooms, transportation and activities that suit the traveler;
- tell the people delivering the tour what they need to know to keep the traveler safe;
- respond to an emergency or illness on tour, including arranging medical care.
We ask for this information on the dietary and medical form in the PassportsGo app. We store it only if you agree, with a separate checkbox, that we may keep it and share it as described below. A parent or guardian answers for a traveler under 18. If you don’t agree, we store nothing and the form still counts as complete, but we can’t arrange accommodations for needs we don’t know about.
Where it comes from
- the traveler, or their parent or guardian;
- the traveler’s group leader or chaperones;
- during the tour, our Tour Directors and the medical providers who treat the traveler.
What we share, and with whom
We share all four categories above (dietary, allergy, medical and mobility information), only as needed for the purposes above, with these categories of third parties:
- Passports Tour Directors;
- hotels, restaurants, transportation companies and other suppliers that deliver the tour, some of them outside the United States;
- the traveler’s group leader and chaperones;
- emergency medical providers.
We do not share consumer health data with affiliates, and we do not sell it.
Your rights and how to use them
You have the right to:
- know and access: confirm whether we collect, share or sell your consumer health data, get a copy of it, and get a list of every third party it was shared with, with an email address or other contact for each;
- withdraw your consent to our collecting and sharing it;
- have it deleted. We delete it from our records, including backups (within six months), and tell everyone we shared it with to delete it too.
How to ask. In the PassportsGo app, you can withdraw your consent at any time on the same dietary and medical form; withdrawing deletes the information. For anything else, email customerservice@passports.com or call 1-800-332-7277 (8 a.m. to 4 p.m. Eastern, Monday to Friday), and tell us the traveler’s name and tour. We may ask for information to confirm who you are; you don’t need to create an account.
We answer within 45 days. If we need more time, we’ll tell you why within those 45 days and answer within 45 more. Two requests a year are free.
Appeals. If we decline your request, you can appeal by replying to our decision or by emailing customerservice@passports.com with “Appeal” in the subject line. We’ll answer in writing within 45 days and explain our decision. If we deny your appeal, you can contact the Washington State Attorney General at atg.wa.gov/file-complaint.
