Privacy Policy

How we collect, use, and protect your personal information.

At Passports Educational Travel ("Passports", "we", "us", or "our"), we are committed to protecting the privacy and security of our clients' personal information. This Privacy Policy outlines how we collect, use, disclose, and protect your personal information when you visit our website or use our services.

By using our website or services, you agree to the terms of this Privacy Policy. We may update this policy from time to time, and we encourage you to review it regularly.

We collect personal information from you when you interact with our website or use our services. This information may include:

  • Personal identification information, such as your name, email address, phone number, and mailing address.
  • Travel information, such as your travel preferences, passport information, dietary requirements, and health information (if necessary for your tour).
  • Payment information, such as your credit card details and billing address.
  • Any other information you voluntarily provide to us, such as survey responses or testimonials.

We may also collect non-personal information, such as your IP address, browser type, and browsing activity on our website.

How We Use Your Information

We use your personal information for the following purposes:

  • To provide our services, including arranging and managing your tour, and processing payments.
  • To communicate with you, including responding to inquiries, sending confirmations, and providing updates or promotional materials.
  • To improve our website and services, by analyzing user behavior and feedback to better understand your preferences and enhance your experience.
  • To maintain the security of our website, by monitoring for fraudulent activity and unauthorized access.
  • To comply with any legal obligations or to protect our rights and interests.

Information Sharing and Disclosure

We may share your personal information with trusted third parties for the purposes described in this Privacy Policy. These parties may include:

  • Tour operators, airlines, hotels, and other service providers involved in organizing and managing your tour.
  • Payment processors, to securely process your payments.
  • Email and communication providers (such as SendGrid) that deliver transactional and marketing email on our behalf.
  • Analytics, error-tracking, and form-security providers as described in the “Cookies and Tracking Technologies” section below.

We will not sell or rent your personal information to third parties for their marketing purposes for any reason. We may also disclose your personal information if required by law or to protect our rights and interests.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Security

We take the security of your personal information seriously and implement appropriate technical and organizational measures to protect it against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission or storage is 100% secure, and we cannot guarantee the absolute security of your information.

Cookies and Tracking Technologies

Our website uses cookies, pixels, and similar tracking technologies to operate the site, measure traffic, and improve your browsing experience. The third-party services we use for these purposes are:

  • Google Analytics 4 (GA4) — measures site usage, traffic sources, and conversion events. Collects pseudonymous identifiers, IP-derived geographic location (truncated by Google), device and browser information, and the pages and events you interact with on our site. Opt out via Google’s opt-out browser add-on at https://tools.google.com/dlpage/gaoptout.
  • Meta (Facebook) Pixel — measures the effectiveness of our advertising on Facebook and Instagram. Collects pseudonymous identifiers and a record of pages you visited and conversion events you triggered. You can manage what Meta collects via your Facebook ad preferences at https://www.facebook.com/ads/preferences.
  • PostHog — provides product analytics and session replay so we can understand how visitors use our website and identify usability issues. Collects a pseudonymous device identifier, the pages and events you interact with, and (where session replay is enabled) a recording of mouse movements, clicks, and keystrokes. Password fields, payment fields, and other sensitive inputs are masked in replays. PostHog session data is processed in the United States.
  • Sentry — captures error reports when something on our site breaks, so we can fix it. Collects the page URL, browser and operating-system version, and (in rare cases) a short replay of the moments leading up to the error.
  • Vercel Analytics and Speed Insights — measures site performance (page load times, Core Web Vitals). Aggregated and anonymized; no individual identifiers.
  • Cloudflare Turnstile — protects our forms from automated abuse. Collects browser characteristics to distinguish humans from bots; does not use cookies and does not track you across sites.

You can manage cookie preferences through your browser settings, but disabling cookies may affect the functionality of our website. Some of these services rely on technologies other than cookies (such as the Meta Pixel and PostHog session replay) and may continue to function unless you opt out via the links above. If you would like us to delete analytics or session-replay data associated with your visit, contact us using the details at the bottom of this page.

Your Rights and Choices

You have the right to access, update, or delete your personal information at any time. You can also opt-out of receiving promotional emails by following the unsubscribe link in the email or contacting us directly. Please note that we may retain certain information as required by law or for legitimate business purposes.

Children's Privacy

Our services are not intended for individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information, we will take steps to delete such information from our records.

Third-Party Websites

Our website may contain links to third-party websites. We are not responsible for the privacy practices or the content of these websites. We encourage you to review the privacy policies of any third-party websites you visit.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. We will notify you of any material changes by posting the updated policy on our website and updating the "Last updated" date. Your continued use of our website or services after the posting of the updated policy constitutes your acceptance of the changes.
