About Passports

You bring the group.
We handle the rest.

Most group leaders under-estimate what a real tour operator does behind the scenes. Here's the inventory: every system, every desk, every layer of support that ships a single tour. Not a brochure — a capabilities map.

The four pillars

Four jobs. One company.
No hand-offs.

Everything Passports does for a group lives in one of four buckets. Same Worcester team, same direct line, same answer-the- phone ethos across all of them.

01

We handle the logistics.

Itineraries, hotels, restaurants, group air, ground transport, museum entrances, payments. The eight-line invoice gets one item, but the work behind it is several thousand.

02

We provide safety & security.

Direct-enrollment contracts, 24/7 emergency line, in-flight overseas medical coverage, every traveler covered. Family-and-administration peace of mind built into the price.

03

We support tours overseas.

Full-time Tour Director with your group, gate to gate. Local relationships in every city we visit. Worcester desk on the phone if anything goes sideways.

04

We facilitate learning.

Free curriculum-tied lesson plans, Tour Director Lecture Series, on-tour experiential activities, post-trip reflection prompts. The trip is a learning arc, not a sightseeing checklist.

Pillar 01 · Tour logistics, in detail

Six workstreams running in parallel
from the moment you sign on.

Pick a tried-and-true catalog itinerary or design something custom with your Tour Advisor. Either way, the six workstreams below get kicked off the same week, and your Worcester contact pulls the threads together.

Recruitment & fundraisingEnrollment site, parent meeting deck, flyers, fundraising playbook — ready when you are.
Participant billingPayment plans, payment processing, billing inquiries — handled directly with each family.
Hotel sourcingCity-center 3- and 4-star hotels, walking distance from the sights you came to see.
Three-course dinnersLocal restaurants, every night, with a meal budget that makes the food a reason to remember the trip.
Group air & transfersBest-routing group fares, in-airport meet-and-greet, ground transfers from arrival gate to hotel door.
Entrances & guidesSkip-the-line tickets at every major site, pre-booked local guides where they earn their keep.

Pillar 02 · Safety & security

The administration questions, answered.

Three things every superintendent wants to know before approving an overseas trip. Here's what we tell them.

Direct-enrollment contracts

Every traveler enrolls directly with Passports — not through your school. Your trip isn't school-sponsored, so you and your administration aren't carrying the liability.

Overseas medical coverage

PassportsCare overseas medical and travel protection is included in every quote. Trip interruption, emergency medical, 24/7 assistance line, repatriation if needed.

24/7 emergency line

Same number you call to ask a question. After hours it rolls to an on-call team member with your tour file open. No outsourced answering service in between.

Pillar 03 · Overseas support

A Tour Director with your group, gate to gate.

Every standard Passports program ships with a full-time Tour Director. They're career educational-travel professionals, not contractors hired for one tour at a time. Most have led hundreds of tours with us. They speak the language of the regions they cover, know which restaurant manager will work with a fifty-person group on short notice, and care about the details that make a single trip the experience of a lifetime.

When something goes sideways — a flight delay, a missed connection, a sick traveler — they fix it. The 24/7 Worcester line backs them up.

Pillar 04 · Learning arc

Pre-trip, on-tour, post-trip.
Three phases of curriculum.

The trip is the centerpiece, but the learning starts months before and continues for weeks after. Passports has free educational resources for every phase.

Pre-departure

Build the educational frame.

Free curriculum-aligned lesson plans for the country you're visiting. Tour Director Lecture Series — short videos hosted by our field staff on art, history, food, and culture. A teacher forum to compare notes with other group leaders.

  • Lesson plans by country and theme
  • Tour Director Lecture Series (free)
  • Pre-trip parent-meeting decks
  • Country-by-country travel handbooks
On tour

Make it a learning trip, not a sightseeing trip.

On-the-ground activities designed to push students out of their comfort zone — a market scavenger hunt in Florence, a writing workshop on the Rialto Bridge. The Tour Director runs them; you stay a teacher, not a logistics coordinator.

  • Tour Director-led experiential activities
  • Travel-journal prompts each day
  • City-specific cultural challenges
  • Photo / video / writing contests
Re-entry

Reflect, share, get credit.

Optional graduate and professional-development credits for participating teachers (most departments accept them). Photo & video archives delivered after the trip. Travelers' contests where students reflect through art, music, or essay.

  • Optional graduate / PD credits
  • Post-trip photo & video archives
  • Reflection contests
  • Free training-trip credit toward a future tour
We operate nationwide

Your group might travel
with another teacher's.

Hundreds of student groups go overseas with us each year, on catalog itineraries that run dozens of times per season. If your group is small or your dates are flexible, we can usually combine you with a same-itinerary group from somewhere else in the country.

The result: lower per-traveler cost, broader friend group, same Tour Director — and twenty new pen pals from the next state over.
